Administrative Assistant to the Superintendent
QUALIFICATIONS:
- Graduate of an approved high school and experienced in the operation of all phases of the office operation.
- Experience in the basic secretarial skills of typing, filing and familiarization with the operation of machines common to a business office including computers, duplicating machines, etc.
- Excellent communication and organizational skills.
- An aptitude for supervising, evaluating, and guiding assigned personnel in the performance of their responsibilities.
- Such additional qualifications as the Board of Education may find appropriate.
REPORTS TO: Superintendent of Schools
JOB GOAL: To manage all duties and responsibilities charged to the superintendent's office.
DUTIES AND RESPONSIBILITIES:
- Prepares and distributes material for Board of Education meetings.
- Reviews and distributes incoming correspondence.
- Coordinates and records the certification process of all personnel, including fingerprinting and medical physicals.
- Maintains a regular filing system, as well as a set of locked confidential files.
- Places and receives telephone calls, and records messages.
- Orders and maintains supplies as needed.
- Performs any bookkeeping tasks associated with the specific position.
- Maintains a schedule of appointments and makes arrangements for conferences and interviews.
- Schedules and records all substitute teachers.
- Maintains home instruction and Adult English for the Foreign Born registers.
- Operates or is familiar with the operation of all office machines, including but not limited to, typewriter, calculator, word processor, photocopier, collator, mimeo, computer, etc.
- Represents the superintendent's office and school district in a professional manner at all times.
- Gathers and files applications, references, certification documents, in-service, and other appropriate data on all personnel, including substitutes.
- Processes and maintains employee attendance data. Annually notifies all employees of remaining sick days.
- Gathers and compiles student attendance for completion of monthly summary report.
- Updates personnel assignments and salary data in personnel master book.
- Annually prepares a personnel directory.
- Acts as liaison between the Superintendent and all personnel; Board of Education, parents, students and other members of the community.
- Gathers data and types all reports issued by the Superintendent of Schools
- Performs any other duties or tasks as may be assigned by the Superintendent of Schools.
