Administrative Assistant to the Superintendent

QUALIFICATIONS:
  1. Graduate of an approved high school and experienced in the operation of all phases of the office operation.
  2. Experience in the basic secretarial skills of typing, filing and familiarization with the operation of machines common to a business office including computers, duplicating machines, etc.
  3. Excellent communication and organizational skills.
  4. An aptitude for supervising, evaluating, and guiding assigned personnel in the performance of their responsibilities.
  5. Such additional qualifications as the Board of Education may find appropriate.

REPORTS TO: Superintendent of Schools

JOB GOAL: To manage all duties and responsibilities charged to the superintendent's office.

DUTIES AND RESPONSIBILITIES:
  1. Prepares and distributes material for Board of Education meetings.
  2. Reviews and distributes incoming correspondence.
  3. Coordinates and records the certification process of all personnel, including fingerprinting and medical physicals.
  4. Maintains a regular filing system, as well as a set of locked confidential files.
  5. Places and receives telephone calls, and records messages.
  6. Orders and maintains supplies as needed.
  7. Performs any bookkeeping tasks associated with the specific position.
  8. Maintains a schedule of appointments and makes arrangements for conferences and interviews.
  9. Schedules and records all substitute teachers.
  10. Maintains home instruction and Adult English for the Foreign Born registers.
  11. Operates or is familiar with the operation of all office machines, including but not limited to, typewriter, calculator, word processor, photocopier, collator, mimeo, computer, etc.
  12. Represents the superintendent's office and school district in a professional manner at all times.
  13. Gathers and files applications, references, certification documents, in-service, and other appropriate data on all personnel, including substitutes.
  14. Processes and maintains employee attendance data. Annually notifies all employees of remaining sick days.
  15. Gathers and compiles student attendance for completion of monthly summary report.
  16. Updates personnel assignments and salary data in personnel master book.
  17. Annually prepares a personnel directory.
  18. Acts as liaison between the Superintendent and all personnel; Board of Education, parents, students and other members of the community.
  19. Gathers data and types all reports issued by the Superintendent of Schools
  20. Performs any other duties or tasks as may be assigned by the Superintendent of Schools.

TERMS OF EMPLOYMENT:

Twelve months a year. Salary and work year to be established by the Board.

EVALUATION:

Performance of this job will be evaluated in accordance with provisions of the Board's policy on Evaluation of Support Services Personnel.
